PRIMARY PURPOSE: Supports clinic leadership with managing business and operational functions across ambulatory clinics, including stand-alone multi-specialty community clinics and campus-based specialty clinics. Responsible for supervising business and operations staff, ensuring high performance in key areas such as patient access, registration, productivity, revenue cycle processes, and front-end operational efficiency. Serves as a frontline leader supporting daily operations and the execution of clinic goals.

 

 MINIMUM SPECIFICATION

 Education:

  • Bachelors degree in business administration, healthcare administration, or related discipline preferred. 

 

Experience:

  • Five (5) years of progressively responsible experience in ambulatory operations, revenue cycle, or clinic management required.
  • Two (2) years of supervisory or leadership experience overseeing operational or business support staff in a healthcare setting or four (4) years of healthcare related experience in an ambulatory clinic setting required.
  • Prior experience with registration, scheduling, patient access, and revenue cycle processes in a clinic environment required.

  • Strong understanding of ambulatory clinic business operations, revenue cycle, and registration workflows. 
  • Demonstrated leadership and team management abilities with a focus on staff development and accountability. 
  • Ability to analyze operational performance and implement process improvements to increase efficiency and financial results.
  • Excellent verbal and written communication skills including the ability to communicate effectively and professionally across disciplines with diverse staff, clinical teams, and leadership. 
  • Strong interpersonal and conflict resolution skills with the ability to establish and maintain effective working relationships with diverse groups across and beyond the organization. 
  • Ability to balance daily operational oversight with supporting strategic initiatives set by clinic leadership. 
  • Ability to work in challenging situations involving competing interests, and high level-interdisciplinary groups. 
  • Excellent time management and organizational skills with the ability to manage multiple demands and respond to rapidly changing priorities. 
  • Knowledge of regulatory requirements and standards applicable to the healthcare environment. 
  • Proficiency with Microsoft Office, practice management systems, electronic health records, and office productivity tools. Ability to learn new software programs.

 

 RESPONSIBILITIES:

 Clinic Operations

  • Supervise daily activities of business and operational staff, including medical practice assistants and other front-desk/administrative roles. 
  • Ensure timely and accurate registration, scheduling, point-of-service collections, work queues, and front-end revenue cycle activities. 
  • Support clinic leadership with achieving operational goals related to access, productivity, financial performance, and patient satisfaction. 
  • Monitor and improve clinic workflows to maximize operational efficiency and support clinical teams in delivering care. 
  • Collaborate with revenue cycle teams to ensure compliance with billing and reimbursement processes. 
  • Serve as a key contact for resolving operational issues, escalating to clinic leadership as appropriate. 
  • Support staffing coverage, scheduling, and frontline decision-making to ensure continuous clinic operations. 
  • Participate in initiatives to improve patient access, clinic throughput, and staff satisfaction. 
  • Oversee ordering and management of clinic supplies to support daily operations. 
  • Serve as the first line for customer relations and service recovery for the clinic.

 

 Regulatory

  • Ensure operations are carried out in compliance with regulatory agency and accreditation standards. 
  • Works collaboratively with others to validate and sustain compliance with regulatory and accreditation standards. 
  • Conducts routine compliance or operational audits to identify gaps and implement remediation plans when necessary. 
  • Works collaboratively with leadership and/or Compliance to investigate and respond to matters of concern or alleged violations taking corrective action as necessary. 
  • Provides timely and accurate responses to requests for information from regulatory agencies and accrediting bodies.

 

 Fiscal Management

  • Promote activities to achieve operational efficiency. 
  • Manage staffing levels within established targets. 
  • Analyze operational reports, productivity metrics, and revenue cycle data; recommend and implement corrective actions as needed. 
  • Collaborate with revenue cycle teams to ensure compliance with billing and reimbursement processes.
