Coordinates and monitors the schedule activities for nurses, healthcare assistants, clerical staff and support technicians for assigned division to ensure appropriate staffing levels for optimal patient care.
Experience:
Must have five years of clerical experience.
Equivalent Experience:
- May have an equivalent combination of education and experience in lieu of experience as stated above.

Skills or Special Abilities:
- Must be able to demonstrate ability to use independent judgment in resolving issues within established guidelines.
- Must be able to successfully pass a Basic-level Microsoft Word & Excel, Telephone Skills and Customer Service test, as established by Employment Services, with a minimum score of 80%.
- Must have excellent communication skills and be able to communicate effectively with all hospital personnel.
- Must be able to utilize required software for assigned department.
- Must be able to compose correspondence independently.
- Must be familiar with the operations of standard office equipment.
Responsibilities
- Identifies staffing needs for the division on a daily basis to ensure the assigned division operates effectively and efficiently. Monitors productivity of inpatient units and reallocates staff as needed to maintain acceptable productivity levels.
- Evaluates and assesses payroll reports comparing reported time to bi-weekly payroll reports and identifies discrepancies in a timely manner to ensure the accuracy of employee pay. Edits and completes corrections to ensure records are accurate. Distributes payroll on a bi-weekly basis according to established procedures.
- Contacts employees to fill vacant shifts daily and/or weekly to ensure units are staffed appropriately. Ensures employee contact data is maintained and current.
- Compiles and maintains current productivity based staffing requirements for assigned division. Updates ANSOS as required.
- Evaluates and obtains approval for overtime shifts when applicable to fill critical vacant shifts and maintain acceptable productivity to ensure patient safety.
- Communicates with on-coming/off-going supervisors regarding status of staffing in the assigned division.
- Makes recommendations for reallocation and proactive planning for unit staffing on a daily, weekly and weekend basis
- Maintains a positive working relationship and rapport with division managers and house supervisors to complete work efficiently.
- Trains others to perform work duties as necessary to provide coverage for workload.
