Primary Purpose
Provides communication and clerical support to patients and clinical staff to facilitate the effective operation of outpatient clinics and ensure that Parkland’s financial viability is secured at the most basic level.
Education

Experience
•Must have three years of medical office or clerical experience.
•Prefer experience in a healthcare setting.
•Prefer patient registration experience.
Equivalent Education and/or Experience
•May have an equivalent combination of education and/or experience in lieu of specific education and/or experience as stated above.

Skills or Special Abilities
•Must be familiar with diagnostic coding and procedure codes.
•Must demonstrate ability to type 20 WPM with a maximum of 3 errors.
•Must be able to successfully pass a Spelling Test with a minimum score of 85%.
•Must be able to successfully pass a Customer Service test, Basic Computer Skills test and Basic Math test with a minimum score of 80%.
•Must be able to demonstrate a working knowledge of standard office equipment.
•Must have basic knowledge of medical software.
•Must demonstrate a positive demeanor, good verbal and written communication skills, and be professional in both appearance and approach.
•Must be detail oriented and have sharp analytical skills to resolve registration issues as they relate to multiple groups including third party payors, physicians, patients and the System.
•Must be able to handle potentially stressful situations and multiple tasks simultaneously.
•Must be able to solve problems within the guidelines of established policies and procedures.
•Prefer bilingual skills.
•Prefer basic medical terminology knowledge.
Responsibilities
1.Greets patients, confirms appointment date and time, verifies and/or obtains demographic information and insurance identification to ensure patient information is documented in a timely and effective manner. Offers explanations for all required forms and Parkland Health & Hospital System policies to patients as needed. May direct or assist in transporting patients to clinic areas. Reviews and updates the patient’s account to ensure Parkland has accurate and current information to process claims and obtain payment.
2.Identifies and refers non-funded patients to a Financial Counselor. Informs patients of their financial responsibility and collects unpaid co-payments or balances. Enters patient charges and payments into the computer system to document financial transactions and complete accounting of patient revenues. Balances cash drawer at the end of each day.
3.Retrieves, coordinates, and/or sets up medical records for scheduled daily appointments; orders tests and coordinates test results for physicians or providers; utilizes ICD-9-CM Coding and HCPCS-CPT-4 procedure codes to enter patient visit into the system; and processes paperwork for registrations, discharges and referrals to assure accurate and timely medical record management.
4.Explains physician ordered protocol to follow for diagnostic tests, explains post protocol after receiving specific test or lab results, explains physician referrals to specialist, and provides information and direction for specialist and/or ancillary services to ensure customer understanding and provide optimal customer service.
5.Schedules follow-up patient appointments and performs no-show and cancellation procedures to optimize available appointment times.
6.Corresponds with clinics and third party payors to coordinate patient appointments, referrals, required authorizations, pre-certifications or orders. May verify insurance benefits as necessary by utilizing online eligibility systems.
7.Sorts and processes all incoming and outgoing mail. Maintains and issues supplies and forms for medical staff to ensure the timely delivery of essential materials.
8.Acts as primary contact for unit, responds to information requests from doctors, nurses, patients, patient families and others to provide an information resource within the unit. Communicates effectively and maintains a positive working relationship with patients, management, clinical staff and other employees to promote teamwork, cooperation, and a positive public image for Parkland.
9.Assists in the training of entry level employees to provide instruction on unit-specific operations.
10.Tracks productivity and patient data and provides cumulative reports on a daily, weekly, or monthly basis, as required.

- Stays abreast of the latest developments, advancements, and trends in the field by attending seminars/workshops, reading professional journals, actively participating in professional organizations, and/or maintaining certification or licensure. Integrates knowledge gained into current work practices.
- Maintains knowledge of applicable rules, regulations, policies, laws and guidelines that impact the area. Develops effective internal controls designed to promote adherence with applicable laws, accreditation agency requirements, and federal, state, and private health plans. Seeks advice and guidance as needed to ensure proper understanding.
